This Privacy Policy describes how Impact Boardroom, operated by Glassroot Partners LLC (“Company,” “we,” “us,” or “our”), collects, uses, and shares information about members and site visitors (“you”) through impactboardroom.com and related services (the “Services”).
By using the Services, you agree to this Privacy Policy and our Terms and Conditions.
1) Information We Collect
Information you provide to us
- Account & Contact Data. Name, email address, phone number (optional), and any information you provide when contacting support, answering questionnaires, or sending company and personal information.
- Membership & Billing. Subscription details and transaction metadata processed via a third-party payment processor (we do not store full payment card numbers).
- Community Interactions. Posts, comments, messages, form responses, and materials you choose to share within the Community.
- Support & Feedback. Information you provide in emails, surveys, or support requests.
Information we collect automatically
- Usage Data. Pages viewed, links clicked, referring/exit pages, session duration, and approximate location (based on IP).
- Device & Log Data. Browser type, device type, IP address, and timestamps.
- Cookies & Similar Technologies. We use cookies and similar tools to operate the site, remember preferences, measure performance, and improve the Services. You can control cookies through your browser settings; some features may not function without them.
Information from third parties
- Service Providers & Platforms. If we use tools like video conferencing, community/chat platforms, email delivery, analytics, or scheduling tools, those providers may send us limited information needed to operate the Services (e.g., usage or delivery status).
2) How We Use Information
We use information to:
- Provide and maintain the Services (including account setup, access control, billing, and member support).
- Operate the Community, including moderation, security, and feature improvements.

3) Sessions, Recordings, and AI Notetakers
- No member replays. We do not record sessions for member replay.
- Internal AI notetakers. We may use AI-powered tools to create internal notes or summaries to improve programming and member experience. These notes are not shared publicly. If you prefer not to be transcribed, you may keep your camera/mic off and participate via chat.
- Data minimization. Where feasible, we minimize retention of raw audio/video used for internal note generation and retain only summaries or derived notes necessary for operations.
4) Legal Bases (for EEA/UK users)
Where applicable, we process personal data under these bases: contract performance (to provide the Services), legitimate interests (security, improvement, communications), consent (where required, e.g., certain marketing cookies), and legal obligations.
5) How We Share Information
We do not sell personal information. We may share:
- Service Providers. With vetted vendors who help us operate the Services (e.g., payment processing, hosting, email delivery, analytics, community tools, customer support). They may only use data to perform services for us.

- Community content and support communications: as needed for Community integrity, dispute resolution, and service improvement.
- Cookie/analytics data: per tool default or as required by law.
9) Security
We use administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is 100% secure. If we believe the security of your data has been compromised, we will act in accordance with applicable laws.
10) International Transfers
